Job Summary
The Administrative Assistant will perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.


Duties/Responsibilities:
•    Organize and schedule appointments 
•    Plan office meetings and take detailed minutes 
•    Plan large group meetings, review event contracts, and other larger company events 
•    Make travel and accommodation arrangements 
•    Create & maintain excel reports as needed for management 
•    Assist and prepare scheduled reports and statistics 
•    Develop and maintain a filing system, both electronic and physical 
•    Update and maintain office policies and procedures 
•    Manage office and facility suppliers and services 
•    Order office supplies and research new deals and suppliers
•    Maintain contact lists 
•    Organize and book meeting and convention space 
•    Provide general support to visitors 
•    Liaise with executives and employees from all departments 
•    Handle requests and queries from management 
•    Assist in management of company fleet vehicles 
•    Handles Sales Rep hospital credentialing program 
•    Other tasks as assigned

Required Skills/Abilities:
•    Knowledge of office management systems and procedures 
•    Working knowledge of office equipment- like printers, computers, etc.
•    Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) 
•    Excellent time management skills and the ability to prioritize work 
•    Attention to detail and problem-solving skills 
•    Excellent written and verbal communication skills 
•    Strong organizational skills with the ability to multi-task 
•    Ability to interact with related departments in a fast-paced environment

Education and Experience:
•    High school diploma required 
•    Proven experience as an Administrative Assistant 
•    Travel and event-booking experience

Physical Requirements:
•    Prolonged periods sitting at a desk and working on a computer.
•    Must be able to lift up to 25 pounds at times.
